2 Getting Started

Register and Purchase

To register for JobWerks you must first purchase a license per candidate at our store. Complete a separate registration form for each mentor and candidate. You will receive an email with download and login instructions with 24 hours on business day. If you have any questions or would like to inquire about JobWerks, contact us.

Note: If Candidates do not have emails, an alternative to individual email addresses could be to set up a common work email address (for example, jobwerks@acmerating.com) that could be used to receive certificates and other JobWerks communications.

Install FileMaker

Install for free (FileMaker GO 14 is not currently supported), or FileMaker Pro on your mac or PC. Try FileMaker Pro free 30 day free trial HEREPurchase an annual license HERE or individual license HERE. Use the documentation from FileMaker GO or FileMaker Pro to complete the installation process.

Install JobWerks

Be sure you have a reliable internet connection. Any mobile charges may apply. If multiple users will be access JobWerks from the same device, each individual user will need to download a separate JobWerks file.

iPad

  1. Tap on the download link. Safari will open and JobWerks will begin to download.
  2. Leave the iPad browser open during this process. It may seem as if nothing is happening since there is no progress bar shown but the app is actually being downloaded in the background. This should only take a few minutes.
  3. When the download is complete, tap on  'Open in “FileMaker….” in your browser.

Mac or PC

  1. Click on the download link to begin the JobWerks download.
  2. Leave your web browser open during this process. You should see the download progressing in your downloads status menu. This should only take a few minutes.
  3. When the download is complete, save the file to a safe, memorable location on your computer. (Windows users, do not click run at this point). 
  4. Open the downloaded file in FileMaker Pro.

Logging in for the First Time.

  1. Enter your username and password included in the registration email to login.
  2. JobWerks automatically syncs when a user logs in if the device is connected to the internet. You can also tap 'sync' from the Dashboard any time to send and receive the most recent changes.
  3. You will be prompted to name the machine that you are using for the first sync. Name the device with the company name, user name and the type of device you are using to access JobWerks. For example: Acme Rating Co John Doe iPad. If multiple users will be access JobWerks from the same computer, each individual user will need to download a separate JobWerks file.
  4. The first time you open JobWerks, the app will sync all of the data which should take about 5 minutes, depending on your connection speed. After the first session, sync time should be less than 1 minute.

Notes:

  • You may need to login again if prompted. 
  • If you see the a prompt that says, “Stop the execution of current script?” tap ‘No’.
  • If the sync is disrupted with a message that the sync failed or aborted or that the server is not responding, don’t be concerned. Simply reopen the JobWerks file. You will be prompted to log in again and asked if you want to sync again. Tap on ‘sync now’.

iPad
You may want to connect the power cord to your iPad while this sync is occurring to conserve battery life. Keep the iPad’s screen from sleeping during this sync process by tapping on a blank part of the screen. Alternatively, you can change the Auto-Lock settings on your iPad. Go to Settings/General/Auto-Lock, make note of the current setting and choose ‘Never’. After the initial sync, don’t forget to return to your iPad’s Auto-Lock settings and change back to your original Auto-Lock time. If the iPad does happen to sleep during a sync, wake it back up so the sync can resume.  If the sync doesn’t seem to finish for any reason, close the file by tapping the settings button in the top left of the FileMaker GO screen and select ‘Close Window’. Tap on ‘Device’ on the left to show the list of FileMaker files on your iPad and select JobWerks from the list. Repeat steps 6-8.

Mac or PC
If you are using a laptop, you may want to connect the power cord while this sync is occurring to conserve battery life.

Time to get to work!

Mentor:

  1. After logging in, you will land on the Dashboard. On the Dashboard you will find a list of all candidates registered to you.
  2. Upload or capture a personal photo to use as your Mentor photo so users may recognize you (for guidance on adding photos click here).
  3. Verify contact email on dashboard.
  4. Tap on a candidate to go to the Clipboard and record observations.
  5. Review 'Mentor Guidelines' and 'Photodocumentation Guidelines' on the Clipboard.

Candidate:

  1. After logging in, you will land on the Dashboard. On the Dashboard you will find a list of tasks to be learned and performed in order to complete the requirements for your certificate.
  2. Tap on a task in the list on the dash to go to Learn where you can review protocols.

5 Mentor Workflow

Add a jobsite address that you where you will observe your candidate performing the required tasks. Access the Homes page from the Housekeeping menu.

Observe the candidate performing their job. Engage with them to review best practices. Access the protocols with the info button on the left of the list of tasks, capture photos using the camera icon, rate performance in the circle to the right of the task name and record feedback underneath the task name.

6 Adding Homes (Mentors)

Add a new home:

  1. Tap on 'Housekeeping'
  2. Tap on 'Homes'
  3. Tap “New” (here you can also search for homes by address)
  4. Type in address
  5. Verify location on google maps (sometimes google maps is not up to date on new street names and construction sites)
  6. (Optional) Add local residential contact (builder, supervisor, homeowner, etc.) under 'Construction Contact'.
  7. You may assign a candidate to the home at this point or assign one later. To assign a candidate simply click the 'New' button at the bottom of the Home Details page, select the candidates name and tap 'Save'.

NOTES:

  • All information is automatically saved once entered. There is no 'save' action required.
  • Add any other important information about that home to the notes field. Simply click outside of the notes dialogue box to navigate away from the notes.

Assign a candidate to a home:

  1. Tap "Housekeeping"
  2. Tap "Candidates"
  3. Click on candidate of choice
  4. Tap "NEW" next to the Home box
  5. Choose the address from the dropdown box. If the address is not listed, go to adding homes.

7 Working on the Clipboard

Before getting started, please review the Mentorship and Photodocumentation Guidelines.

The Clipboard is the central location for the Mentor to submit evaluations and feedback for your Candidates. Provide task evaluations or feedback for tasks by:

  1. Selecting candidate and home to be reviewed
  2. Review task protocols by tapping the information circle to the left of each task.
  3. Chose a response by tapping on the white circle to the right of each tasks. Choose Satisfactory, Work in Progress, Below Expectation or Not Applicable from the popover menu.
  4. List any necessary feedback below the task name. If a candidate has shown satisfactory skill on a specific task and you feel confident that they have mastered it then you do not need to provide feedback on the following inspections.
  5. Attach photos and additional notes by tapping on the camera icon.
  6. Tasks that cannot be completed in a home can be marked as N/A in bulk. Leave all non-applicable tasks blank. When you have finished leaving Candidate responses for all applicable tasks, scroll to the top of the list and tap N/A to autofill the rest of the form.

 

8 Working with Photos

Adding Candidate Photos:

On an iPad:

  1. From the clipboard click on the photo icon (include icon image) and your camera should open
  2. Click the round button to capture the photo
  3. Input company name, candidate and address from the dropdown menus to the right of the photo
  4. Choose a category that is applicable to the photo and list any other additional comments (optional)
  5. Press submit

On PC or Mac:

  1. Capture Candidate photos from any device
  2. Upload to your computer
  3. Click on the clipboard within JobWerks
  4. Click on the photo icon
  5. Insert photo from resident file on PC or Mac
  6. In the top dropdown box to the right of your photo, choose your registered company name
  7. In the middle dropdown box choose your candidate
  8. In the bottom dropdown box choose the site address
  9. Choose a category in the dropdown box that most closes relates to the photo submitted. There is an optional field for any additional notes.
  10. Click submit

*For tips, requirements and suggestions on which photos to include, tap on 'Photo Guidelines' located to the right of the site address dropdown box on the clipboard.

Media Page

You can browse all of the photos that you have added to JobWerks. Using the “Filter” function you can group your photos by candidate, home, and/or category (for example air sealing).

9 Learn

On the Learn page, a mentor or candidate has access to all the standards and field practices that may be required for an RFI or Installer.

Learn is designed to:

  • Educate candidates on the protocols, standards and best practices required for the certificate
  • Ensure that mentors and candidates stay on the same page when it comes to field protocols and procedures
  • Provide a visual library to illustrate protocols and best practices (coming soon)

 To access learn: 

  1. Tap 'Learn' on the navigation bar.
  2. Check that the candidate type is highlighted (either RFI or Installer). To change, simply tap on the slider to select either 'RFI' or 'Installer'.
  3. Tap 'Show All' to see the complete list topics provided. Choose a category in the 'Filter by Category' dropdown to filter the list. For example, choosing 'Doors' will list only the tasks associated with doors.
  4. Tap on the information icon to the left of the task to display the protocols for that task.

10 Reports

Reports provide a snapshot of Candidate progress, listing the responses, feedback and photos for the user.

View Candidate Reports

  1. Tap on 'Housekeeping' and select 'Reports'
  2. Tap on 'Filter'
  3. Choose candidate, address and/or a category then click 'Filter'. You may choose to filter by any of those options individually or in combination.

View Candidate Status

  1. Tap on 'Housekeeping' and select 'Candidates'
  2. Tap on the report icon listed under the 'History' column and a pop up will show you the RFI’s percentage of satisfactory tasks completed and how many homes that have been completed.

11 Remote Mentorship, Assessment and Quality Control

Remote Mentorship (RM)

Remote Mentorship is an additional JobWerks feature that may be purchased to provide functionality to observe a Candidate's work without leaving the office! Candidates will connect to Mentors through a video conference within the JobWerks app. Then, the RFI can ask questions and display their knowledge of each component required for JobWerks. JobWerks will save a record of the call time as part of the Candidate record. The RFI’s will be able to capture their own photos to upload to JobWerks. Please note that RM is only available if there is internet access at the job site.

Remote Assessment (RA)

Remote Assessment is an additional JobWerks feature that may be purchased to utilize Organic Think staff (the creators of JobWerks) to complete the final graded field evaluation for RFI’s required by RESNET. All assessments will be conducted via video conference. Please note that RA is only available when the candidate has internet access at the job site.

Roadside Assistance: Technical Support 

If you don’t have the bandwidth or the knowledge to provide real-time, on site support to your RFI’s Organic Think has got you covered! Please note that remote technical support is only available if users have access to internet at the job site.
